Lodging CCS data in the UKCCSRC Data and Information Archive

Who?

UKCCSRC and EPSRC projects are required under the terms of their grants to work with the UKCCSRC Data and Information Archive to ensure that data produced from the project are archived appropriately throughout the lifecycle of the project and at its conclusion. Data resulting from UKCCSRC core research should also be archived.

Project Principle Investigators are responsible for ensuring the data are archived.

The UKCCSRC Data and Information Archive also accepts and welcomes CCS-related data from other projects and sources.

Why? — EPSRC requirements

The EPSRC's Policy Framework on Research Data came into effect in May 2015, and applies to all research funded by the EPSRC, including UKCCSRC research. Full details of the EPSRC's requirements can be seen here.

The EPSRC expectations for research data management fall on the organisation in receipt of research funding i.e. your home institution. Your home institution will be making its own arrangements to meet these responsibilities, and should be your first port of call for further information on the EPSRC requirements.

UKCCSRC and EPSRC projects are required to archive data with the UKCCSRC archive in addition to any home institution requirements. We ask that these projects also pass research data and metadata to the UKCCSRC archive in line with the timescales required by EPSRC.

EPSRC requirements — timing of data deposit

The EPSRC expectations require researchers to ensure that data are archived appropriately as their project progresses (rather than at the end), and include two expectations specifically relating to the timing of data sharing, namely:

  • Data supporting published research papers to be archived before publication and access to the data described in the paper.
  • Online metadata to be created within 12 months of data generation.

Home institute data archiving requirements

As noted above, your home institution is responsible for ensuring that the research data it generates is managed in line with EPSRC requirements, and each institution will provide guidance and support to its staff.

  • Please consult your home institution for their guidance and requirements for research data management.
  • Contact your home institution to confirm where they wish you to archive your data to fulfil EPSRC's requirements.
  • This may be a home institution or other archive.
  • If they have no preference or recommend a subject specific archive you can archive the data directly in the UKCCSRC Data and Information Archive.

The UKCCSRC and staff who maintain the UKCCSRC Data and Information Archive are happy to provide advice on research data management and practical support regarding how to add your data to our archive.

Complete a Data Management Questionnaire

The Data Management Questionnaire (DMQ) is data management planning tool. It is a good starting point for you to think about the potential outputs and identify data of long-term interest early on in the project. It also assists data archive staff with the data management requirements.

Deposit your data online

  • Upload data to the UKCCSRC Data and Information Archive using the UKCCSRC Data Deposit Application.
  • This includes a form to enter details describing your data.
  • Make sure you have all the data and full details ready.
  • Data archive will check the information before adding to the Archive.

Deposit large datasets

For large deposits, data can also be submitted to the archive by various other methods. In this case you should still enter your details and a description of the data using the UKCCSRC Data Deposit Application, and upload a text file specifying how the data will be transferred. Please zip files before submitting to ensure they are as small as possible.

  • Sharefile — we can send you a link where you can upload data (up to 100GB).
  • Other file transfer application — send a link to ukccsrc_data@bgs.ac.uk where we can download the data.
  • Portable hard disc (larger deposits) — your disc will be returned after the data has been copied, or we can provide a disc.

Metadata (information about the data)

Metadata is the description of the data enabling others to understand what exists and what its purpose is.

  • When you complete the online form you should ensure a good accurate description of the data is provided.
  • The metadata should be clear, correct, concise and distinctive.
  • Put thought into a good title and description.

DOI (Digital Object Identifier)

If data has a Digital Object Identifier (DOI) this can be used to cite your data.

  • If you would like a DOI (Digital Object Identifier) issued so that data can be cited easily, please let us know.
  • If the data is related to a publication, the journal may ask you to provide a DOI.
  • Data can be archived without a DOI and not all data are appropriate for a DOI.

Reference the data from your publication(s)

Include a Data Availability Statement (also referred to a Data Access Statement) in your publications describing where the underlying data can be accessed (or explaining why access to underlying data has been restricted).

  • This is a requirement of most journals and funders.
  • This should include the name of the data repository and the DOI.
  • An appropriate licence can also be included.

Some examples are provided below which can be adapted as necessary.

  • Data related to this article can be accessed from the UKCCSRC Data and Information Archive at http://dx.doi.org/10.5285/xxxx, and used under the Creative Commons Attribution licence (CC–BY).
  • Supporting data will be available from the UKCCSRC Data and Information Archive at http://dx.doi.org/10.5285/xxx after a 6–month embargo from the date of publication to allow for commercialisation of research findings.
  • The data underlying this article are not available by agreement with our partners to protect their commercial confidentiality.

Also cite the datasets in the references section

  • e.g. Authors; Year; Dataset title; UKCCRSC Data and Information Archive; DOI.

Provide link to other archive/publication

  • If you have already deposited data in your home institution or other recognised data repository, please provide the link to the online location to the UKCCSRC archive ukccsrc_data@bgs.ac.uk.
  • If data is included within a publication (e.g. supplementary information), please provide the link.
  • We may take a copy of the dataset and metadata and add this to the archive making it more discoverable.
